You've created a kick-ass event at an amazing location with a killer event page - and all within budget! Now what? Your biggest fear: getting people to show up!

Enter the invite, arguably one of your event plan's most pivotal – and potentially daunting - elements. But it's not just about the invite; consistent communication throughout the event lifecycle is key to showcasing your unwavering commitment to attendees and boosting your attendance rate.


But don't worry; we've got you covered. We'll outline a simple email sequence that's easy to customize for your unique event, and, as a bonus, we'll even include a template of a simple but effective sequence we use in our event plans.

1.

The Invites

Get people to RSVP!

Timing

There are a lot of factors that can influence this, including the type of event, the location, etc. Our rule of thumb is a minimum of two weeks before your event, but ideally, 3-4 weeks is probably best.

Message

Provide the recipient with a high-level overview of the event and its value prop. What will entice them to want to attend your event? Will they learn or understand something better? Will they meet people and make connections? People often spend time on things because of who they will become as a result of it. (For a deeper dive into messaging, check out this video).

Hot Take

Don’t stop at one invite. Send multiple invites to those who haven’t responded. Be sure to test your messaging to determine what’s resonating with your potential guests and change it up. Share some speaker info or a behind-the-scenes moment to pique interest.

Bonus

If you aren’t 100% sure of your event details, you can always send a Save the Date as a placeholder.

The Confirmation

Let people know they’re ready to rock!

Timing

After they RSVP.

Message

It’s a good idea to send attendees a quick email after they RSVP to reiterate that they have successfully registered and recap the details. This is a great time to provide a way for them to add this event to their personal calendars. The ability to do so will increase their probability of attending by 200%.

Hot Take

Consider time of day when sending your emails. When do you get the highest response rate? What we’ve seen as the best time to send invitations is at 6:00 am, 10:30 am or 4:30 pm. The worst time to send invitations is after 5:00 pm.

The Reminders

Remind registrants that your event is right around the corner.

Timing

The day before or hour before your event.

Message

Reiterate the details of your event (date, time, location, and your hashtag to promote social sharing). It’s ok to send multiple reminder emails. Typically, the day before or day-of works well, but we’ve also sent reminders three days prior with success. 


Use this reminder as an opportunity to highlight any changes to the event or provide guests with more detailed instructions or information if necessary.

Hot Take

Announcements can serve as a low-key reminder or touchpoint post-RSVP. For example, announcing a new speaker is an excellent way to entice folks to open your emails and keep your event front-of-mind.

Bonus

Reminders are also the perfect opportunity to tease related content to help drive attendance!

4.

The Follow-ups

Thank your guests for attending, and continue nurturing the relationship.

Timing

One to two days after your event, on-going indefinitely thereafter.

Message

Let your guests know you appreciate the time they took out of their busy lives to attend your event. When appropriate, share the presentation and/or the recorded content to view on-demand. Take this opportunity to continue to engage with your guests after the event. For example, give them a link to event photos or a tangible event recap. Follow-up emails can include anything from a post-event survey to a discount on your next event.

Hot Take

Don’t limit this email to just the people who attended. Reach out to those who planned to be there but didn’t make it, and let them know you’re still thinking about them.

Bonus

After the initial follow-up, you may choose to put your attendees into some form of nurture email drip. Nurture emails allow you to maintain a valuable connection, provide additional resources, and keep the excitement alive even after the event has ended, leaving a lasting impression on your attendees.

Consistent and effective communication throughout the event lifecycle is vital to maximize attendance and create a memorable experience for your attendees.
