There’s only one month left in 2023.

So, we wanted to take this time to make sure your Splash account was primed for success in the new year.

Here’s what to review before you turn on your OOO.

Admins: Review your 2023 event performance and tidy up your team

To kick things off, take a look at your event performance over the last year in the Reporting tab.

The Reporting tab in Splash includes built-in dashboards using data across all of your event programs. If you want to narrow your reporting, say by quarter, you can filter your results using custom date ranges.

Here are a few top dashboards and how you can use them heading into 2024.

User Activity

This dashboard tells you which users and groups created the most, and fewest, events over the last year. Use this data to prompt conversations with teammates and get feedback about what worked in the platform for them and what didn’t. It’s also a great time to pair up different teams, or groups of users, to learn from each other.

Event Activity

This dashboard gives you insights into RSVP behavior that you can use to inform and influence your marketing strategy next year.

RSVPs by Day of Week and Time of Day

This dashboard tells you when guests are most likely to register, which can help you plan next year’s email and social promotion calendar.

Event Type Comparison

This dashboard tells you how different event formats – in-person, virtual, and hybrid – perform against one another.

Splash Theme Comparison

This dashboard tells you which of your event page templates have the highest RSVP conversion rates.

Loyalist Summary

This dashboard helps you understand who your repeat attendees are. Use this list to source potential speakers, beta users, or customer interviews.

Message Activity Summary section

This dashboard provides key insights into your invite and reminder emails. Check out the mobile vs web breakdown to understand how guests are engaging with your outreach.

Email Campaign Performance

This dashboard gives a breakdown of your most successful email campaigns. Be sure to pay attention to which subject lines had the highest open rates, then consider applying those to the email templates on your themes.

Next, review your Splash user list.

  1. Open Team Manager.
  2. Use Filters to view recent user activity and remove any team members who are no longer active with your company or in Splash to save yourself some money on unused licenses. (Don’t worry, we won’t tell our Finance team we shared this). Make sure to include both Active and Pending users.
  3. Add new team members as needed. Keep an eye on your licenses in the top right to avoid overages.
  4. Open Groups.
  5. Add and remove groups as needed.

Creative Specialists: Manage your brand assets and update your themes

Whether or not your branding is changing within the next year, it’s best practice to review the assets in your Brand Library.

After all, these assets automatically apply across event touchpoints whenever your team creates an event using a Branded Theme.

Before the new year:

  1. Open your Library.
  2. Click on Brand.
  3. Review and update your logos, fonts, and colors. If you haven’t already, we recommend setting up multiple font and color sets for your team to choose from when designing their events.
  4. Click Save.

Since the Brand Library isn’t connected to your Custom Themes, you’ll need to update them separately. To do so, click the Theme tab in your Library.

Open each Theme to review your logos, fonts, and colors across different touchpoints: event page, emails, confirmations, Virtual Event Page, share card, etc. This is also where you’ll want to update header and footer copyrights for 2024.

Bonus: Ask your Admin to share the Splash Theme Comparison report with you to understand which themes are performing best for your team and which ones can use a refresh.

Integrations Specialist: Review registration forms and integrations

To ensure successful syncing throughout 2024, take time to review the data collected in your registration forms along with the data mapped in your integrations.

Start with the Form Library.

  1. Open your Library.
  2. Click Form.
  3. Review the fields for existing forms and update any privacy policies, terms and conditions, etc. for 2024.
  4. Add or remove questions as needed.
  5. Optional: Set a default form for your team to use every time they create an event.
  6. Save.

Next, review your integrations.

  1. Open Integrations.
  2. Click into each integration and review your credentials and field mappings.
  3. Add or remove fields as needed.
  4. Save.

While Salesforce and Marketo remain our most popular integrations, we highly recommend implementing a team-wide integration like Slack in the new year.

The Slack integration automatically triggers custom messages to a Slack channel to notify your team about event activity like RSVPs and check-ins. This creates real-time visibility, gamifies event performance, and increases follow-up time with your customers and prospects.

Event Organizers: Prep your 2024 calendar and stay on top of these Splash Studio changes

For those of you familiar, we refer to a calendar, or a collection of event pages, as a Hub.

If you’re unfamiliar with Hubs, here are three big reasons we recommend creating one for your 2024 events:

  • Discoverability: Hubs showcase past, future, and featured events in a really beautiful and digestible way.
  • Subscribers: Guests can subscribe to your Hub page, meaning you always have a built-in invite list ready to go.
  • Evergreen content: These days, your virtual events generate a ton of quality video content. Hubs neatly package and showcase all of your on-demand programs in one place.

To make creating your Hub as easy as possible, we recommend using the Jumpstart Branded Theme. The layout includes Featured, Upcoming, and Past events and built-in, easy-to-use filters for guests.

Next, we improved the virtual hosting experience in Splash Studio.

The next time you host a virtual event, you’ll only need to send your Hosts and Presenters the Hosting Link to join the stage – no codes required. You’ll just need to add their email addresses to give them access.
